CURE International, a non-profit org for children, embarked on a transformative journey that spanned continents and touched countless lives. From humble beginnings, it has evolved into a significant player in global healthcare, managing children’s hospitals in eight countries, HQ in Michigan, US: Ethiopia, Kenya, Niger, Malawi, the Philippines, Uganda, Zambia, and Zimbabwe. Despite its unwavering commitment to serving vulnerable children, CURE faced challenges across geographic and administrative boundaries.

Business Goal
The primary goal was to centralize CURE International’s operations by connecting with Hospitals purchase, inventory and accounting systems with CURE Distribution Centre. This integration aimed to eliminate the inefficiencies caused by using multiple disparate systems, ensure data accuracy, and provide real-time visibility into operations across all eight hospitals. Additionally, we sought to automate manual processes such as inventory adjustments and approval workflows, reduce human errors, and enhance compliance with country-specific regulations. By achieving these objectives, CURE International could improve operational efficiency, make informed decisions swiftly, and focus more resources on its core mission of providing quality healthcare to needy children.

Our Solutions
Centralized Inventory and Purchase System
We implemented Odoo to streamline all purchase, inventory, and accounting operations under a unified platform. This eliminated multiple software systems across eight hospitals, improving visibility and control. Multi-company architecture enabled centralized management for CURE International’s headquarters while hospitals maintained autonomy. We also developed a material requisition process to smoothly transfer requested quantities from the main store to mini-store locations. Additionally, the approval system for purchase orders was automated to ensure compliance with defined thresholds. This transformation enabled real-time tracking, consolidated reporting reduced manual efforts, and enhanced overall operational efficiency.
Pre-filled Stock Records with User-Based Access
We replaced the manual stock counting process, previously done via spreadsheets, with a fully automated stock count system in Odoo. Additionally, an auto-batch adjustment process was implemented to eliminate the need for external tools like Excel. This automation reduced discrepancies, improved accuracy, and significantly decreased time spent on stock management, leading to more efficient operations across all hospitals. A location-wise stock count process was introduced through a separate menu. Upon selecting a location, the system automatically creates batch inventory adjustment records, pre-filled with current stock data. Fields are visible based on user access, further streamlining stock management.
Custom Label Printing for Drug Dispensing and Automated Expiry Reports
We developed a custom label printing functionality in Odoo for all drugs and medications consumed in hospitals. Each label included crucial details like drug name, strength, expiry date, prescription number, and usage instructions. This automated process ensured compliance with regulatory requirements and streamlined drug dispensing at the hospital level. Additionally, the system generated weekly expiry reports, alerting hospitals to expiring or expired drugs and helping them take timely action. This improvement increased safety, reduced manual errors, and facilitated better tracking of pharmaceuticals.
Approval Workflow for Various Operations
We implemented an approval delegation system in Odoo to address approval challenges during staff absences. This system enabled users to assign approval authority to an alternate person during vacations or other absences. It included multilevel threshold-based approvals for purchase approval, journal entries, material requisition, inventory adjustments, and more. Approval tasks were delegated with specific start and end dates, ensuring smooth business operations. Notifications were rerouted to designated approvers, preventing delays in critical processes. This streamlined approach enhanced efficiency, improved order management, provided real-time updates, and eliminated bottlenecks in decision-making across the
